QuickBooks
QuickBooks integration for sign shops
QuoteJacket pushes to QuickBooks Online. It does not replace it. Connect once in Settings. Then export an Estimate from a quote, or an Invoice or Sales Receipt from a job. One-way. On Shop, Team, and Crew.
Connect and push
- In Settings → QuickBooks, connect your QuickBooks Online company with your Intuit login.
- Open QuickBooks in the app after it is connected.
- Find the quote or job you want to export.
- Choose the document: quotes export as Estimate only; jobs export as Invoice or Sales Receipt.
- Match the customer to an existing QuickBooks customer, or create one, then push. A successful export will not send twice.
What gets pushed
QuoteJacket sends line items: description, quantity, and pretax amount. Notes from the quote or job can go on the QuickBooks document.
Document numbers use prefixes — E for estimate, J for invoice, R for sales receipt — so you can see what came from the shop.
Your customer never sees cost or margin on a QuoteJacket quote or invoice. QuickBooks gets those same pretax sales lines, not internal cost fields.
Tax and totals
Line amounts are pretax. QuickBooks applies its own tax, so the total there may differ from your shop invoice PDF.
That is the point. We are not your accounting system. Tax stays in QuickBooks.
Deposits and payments
Take deposit in QuoteJacket records an amount and a time on the job. We do not charge the customer's card, and we do not post a payment in QuickBooks for you.
Push Invoice or Sales Receipt when you are ready. Record payment in QuickBooks the way you already do.
Document types
Quotes and jobs export different documents.
| Source | QuickBooks document | When to use |
|---|---|---|
| Quote | Estimate | They have not committed; it is still an estimate in QuickBooks |
| Job | Invoice | Bill them; balance due on the invoice |
| Job | Sales Receipt | Treat as paid / cash sale in your books |
What this does not do
- One-way only — nothing syncs back from QuickBooks into QuoteJacket.
- No inventory, payroll, or card capture in QuickBooks from us.
- Quotes cannot export as Invoice — Convert to Job first.
- Jobs cannot export as Estimate.
- You need QuickBooks Online. Connect it in Settings before you export.
